Bachelor’s degree in a relevant field and three years of experience in planning, and implementation of conferences and/or special events; OR an Associate's degree in a relevant field and five years; OR seven years of such experience. At least one year of experience must have included supervision of staff. A Master’s degree in a relevant field may substitute for one year of general experience.
Conferences and/or special events contract negotiation and management experience. Experience in the development of Requests for Proposals (RFP), review and award process. Certified Meeting Professional certification. National Conference/Meeting Industry Certification/Credential. Experience using CVENT software package and/or other conference management software. CVENT Event Management Certification and/or other industry software equivalent certifications; Experience with conferences and/or special events of at least 1,000 attendees. Experience in growth of conference. Understanding of Emergency Medical Services continuing education requirements. Experience with delivery of online educational content; Proficiency with Roberts Rules of Order.
The EMS Conference Coordinator I will be responsible for logistical planning, contract management, budget development, and educational program development for meetings, training sessions, and special events for the Bureau of Emergency Medical Services (BEMS). Specific duties will include: developing Request for Proposals (RFPs) for all BEMS meetings, trainings, and conferences; reviewing, negotiating, and assuring deliverables are met for vendor contracts; conducting site visits for proposed host venues; assisting to develop educational content for the annual EMS conference; coordinating the production of conference brochures, announcements and participant registration materials; delivery of educational content; create and/or update conference business plan when requested by leadership; completing an after action report after each conference outlining strong points and opportunities for improvement; management of attendee surveys and present findings and suggestions for future conferences; develop marketing plan targeted to increase attendees at future events; oversight of online educational delivery systems including the oversight of development of online educational content as needed; Management of online attendee tracking software; monthly review of financials related to conference expenses; coordinating the planning and production of the EMS Memorial; providing guidance on the requirements of Article 30 as it pertains to the NYS Emergency Medical Services Commissioner Advisory Council (SEMSCO), State Emergency Medical Advisory Committee (SEMAC), sub-committees and bylaws; and supervising staff. Other related duties as assigned.
Grant funded position. Compliance with funding requirements such as time and effort reporting, grant deliverables, and contract deliverables, is required.
